How to track business expenses is rarely a software problem. Every accounting platform does it well. The failure is almost always in capture, because a deduction without evidence is a deduction you may not be able to defend.
Most owners lose money here without realising. Not through anything dramatic, just a slow leak of uncaptured receipts, miscategorised spending and subscriptions nobody remembers approving.
This guide covers what the IRS actually expects, the weekly routine that keeps records complete, and ten steps that stop deductions disappearing between purchase and filing.
Tracking an expense means recording four things: what was bought, when, how much, and the business purpose. The first three come from the bank feed automatically. The fourth is what people skip.
Business purpose is the element the IRS cares about most. A $340 payment to an airline is not a deduction on its own. The same payment with a note naming the client and the meeting is.
| Element | Source | Who usually forgets it |
|---|---|---|
| Amount and date | Bank feed | Nobody |
| Vendor | Bank feed | Nobody |
| Category | Coded manually | Occasionally |
| Receipt image | Captured at purchase | Most people |
| Business purpose | Written note | Almost everyone |
| Attendees, for meals | Written note | Almost everyone |
Deductions are not usually lost at filing. They are lost at the moment of purchase, when a receipt goes into a pocket and never reaches the accounting file.
By the time anyone looks, the transaction exists in the bank feed with no supporting evidence and no recollection of purpose. Most accountants will code it conservatively or leave it out, because the alternative is a position that cannot be defended.
The IRS guidance on deducting business expenses requires costs to be both ordinary and necessary, and substantiated. Substantiation is where the leak happens.
Capture at purchase, review weekly, reconcile weekly. Three habits, none of which take long, and together they close almost the entire gap.
The review step is what most people omit. Transactions coded by a rule rather than a person drift within weeks, and nobody notices until the reports stop making sense.
Steps one to three are setup. The rest repeat weekly and take under an hour between them.
Every business expense on one card, no personal spending on it, ever. This single decision removes most of the categorisation difficulty and protects the liability separation your entity provides.
A live feed turns expense tracking into review rather than entry. What is double entry bookkeeping handling behind the scenes is the balancing side of every import. Without it you are typing from statements, which is slow and introduces transcription errors nobody catches.
Build the expense categories around how you actually spend. If software is a major cost it deserves its own account rather than sitting inside a general bucket where it becomes invisible.
Not that evening, not at the weekend. The receipt goes into the app before you leave the counter. Every system that depends on remembering later fails within a month.
One line is enough. Client name, project, or reason. This is the field that turns a transaction into a defensible deduction and it takes about eight seconds.
Meals have specific substantiation requirements including who was present and the business discussed. A receipt alone does not meet the standard.
Clear the uncategorised queue every week. Transactions coded from memory three months on are guesses, and guesses are what produce inconsistent reports.
Mileage needs a log recorded at the time, showing date, distance and purpose. Reconstructed mileage logs are the first thing examined in an audit and the first thing disallowed.
Subscription creep is the most common avoidable expense in small business. A monthly scan for recurring charges typically finds something nobody has used in a year.
What is double entry bookkeeping contributing here is the balance check. Because each transaction posts twice, an unreconciled card account signals a missing or duplicated entry rather than hiding it.
Knowing how to track business expenses properly ends with locking the month, so corrections are deliberate rather than accidental.
A specialty contractor in Phoenix had a card, a bookkeeper and reasonably current books. What he did not have was a receipt habit, and roughly four hundred transactions a year carried no supporting evidence.
His accountant had been coding conservatively for two years, leaving out anything that could not be substantiated. Neither of them had discussed it directly.
| Category | Claimed before | Claimed after | Difference |
|---|---|---|---|
| Vehicle and mileage | $4,100 | $11,800 | +$7,700 |
| Tools and equipment | $9,400 | $13,200 | +$3,800 |
| Meals with clients | $0 | $2,900 | +$2,900 |
| Home office | $0 | $3,600 | +$3,600 |
| Training and licences | $800 | $2,100 | +$1,300 |
| Total additional deductions | – | – | +$19,300 |
Nothing claimed was new spending. All of it had happened and all of it qualified. The only change was that it could now be evidenced, which moved roughly $19,300 from unclaimed to claimed in a single year.
Use a dedicated business card, connect the feed to your accounting software, photograph receipts at the point of purchase and write the business purpose immediately. Then code transactions weekly and reconcile the account against its statement before closing the month.
The amount, date, vendor, and business purpose, supported by a receipt. Meals additionally require recording who was present and what was discussed. Mileage requires a contemporaneous log showing date, distance and purpose.
Generally three years from the filing date, though some situations extend this to six or seven. Digital copies attached to the transaction in your accounting software are acceptable and considerably easier to retrieve than paper.
Home office, business use of a personal vehicle, professional development, software subscriptions and startup costs incurred before trading began. Startup tax deductions are frequently missed because owners assume they do not qualify before incorporation.
You can, but reconciliation becomes manual and receipt attachment has nowhere to live. Accounting software with a bank feed removes most of the work and keeps evidence with the transaction, which is what matters if the position is ever questioned.
Not at low volume. Above roughly fifty transactions a month it becomes a weekly commitment competing with running the business. Certified bookkeeper services bring a review layer as standard, and certified bookkeeper services typically pay for themselves through recovered deductions before any time saving is counted.
Expense tracking is not about discipline at tax time. It is about eight seconds at the point of purchase, repeated consistently, and the difference across a year is usually measured in thousands.
